1. Purpose of this Privacy Policy
This Privacy Policy explains how African Institute of Engineering and Technology (Pty) Ltd (“AIET”, “we”, “us” or “our”) collects, uses, stores, shares and protects personal information submitted through our website, application forms, admission forms, email, WhatsApp, telephone, campus reception and student-support channels.
2. Information we collect
- Identity information: names, ID/passport number, date of birth, nationality, gender and demographic information where required for statutory reporting.
- Contact information: phone number, email, residential/postal address and next-of-kin details.
- Programme information: course selected, campus, intake, study mode, payment option and academic history.
- Documents: ID/passport, proof of residence, results, certificates, proof of payment, permits, guardian consent, medical/fitness documents, CVs or portfolios where applicable.
- Support information: disability, health, safety or accessibility support information supplied voluntarily or required for workshop, practical or clinical placement safety.
- Technical information: website enquiry source, IP address, date/time of submission and email-delivery records.
3. Why we process personal information
AIET processes personal information for admissions, learner file creation, enrolment, registration, academic administration, payment verification, student support, certification support, statutory reporting, workplace/practical placement administration, QCTO/SETA/DHET/NATED processes, internal quality assurance and institutional communication.
4. Sharing of information
Where necessary, AIET may share relevant information with education and quality-assurance bodies, SETAs, QCTO, DHET/NATED-related processes, assessment centres, workplace/practical placement partners, payment/banking channels, IT/email service providers, auditors, legal advisers or authorities where required by law.
5. Storage, security and retention
AIET will use reasonable administrative, technical and physical safeguards to protect personal information against unauthorised access, loss, damage or unlawful processing. Learner records and statutory documents may be retained for as long as required for admission, training, assessment, certification, compliance, dispute handling and record-keeping purposes.
6. Applicant and learner rights
Applicants and learners may request access to their personal information, correction of inaccurate information, deletion where legally appropriate, objection to processing where permitted, or withdrawal of consent where processing is based only on consent. Some records may still need to be retained where AIET has a legal, contractual, academic or compliance obligation.
7. Complaints and contact
Privacy requests can be sent to info@africaninstitute.education. Applicants may also approach the Information Regulator of South Africa where they believe their personal information has not been handled in line with POPIA.
