This page defines the expected duties, reporting lines, service standards and operational responsibilities across all departments within African Institute of Engineering and Technology. It is designed for staff induction, accountability, performance management, compliance readiness and smooth institutional operations.

Role clarity and service commitment

AIET staff members are required to understand the duties linked to their role, the standards expected by the institution, and the way each department supports students, parents, regulators, partners and colleagues. This page sets out practical responsibilities for daily work, staff induction, performance management, audits and institutional accountability.

Staff must escalate issues through the correct supervisor, department head or management channel.

Staff may be required to sign acknowledgement during onboarding, policy updates or performance reviews.

General service standards for every AIET employee

These expectations apply to every employee, lecturer, facilitator, receptionist, administrator, contractor, intern, assistant and person working under AIET authority.

Professional conduct

Serve students, parents, colleagues, visitors and regulators with respect, calm communication and institutional loyalty.

Confidentiality

Protect student records, staff information, financial information, accreditation files and internal decisions.

Reporting

Report incidents, risks, attendance issues, student complaints, equipment faults and compliance gaps immediately.

Accountability

Complete duties on time, keep evidence of work done, follow lawful instructions and communicate before problems escalate.

Management instruction principle: Roles listed here do not limit management from allocating reasonable, lawful, role-related duties required for accreditation, student service, compliance, safety, operations or institutional continuity.

Role definitions and responsibilities

Executive Oversight & College Council

A. Williams · College Council

Purpose

  • Provide institutional leadership, policy direction, governance oversight and long-term sustainability.
  • Approve strategic projects, campus development, partnerships, major expenditure and compliance priorities.
  • Protect the reputation, legal position, assets and academic integrity of AIET.

Core responsibilities

  • Review operational performance, enrolment performance, staff performance and student service quality.
  • Ensure management implements fair policies, proper records and compliant systems.
  • Represent AIET in major stakeholder, regulator, funder and partnership discussions when required.
  • Ensure institutional decisions are documented and communicated through appropriate channels.

Academic Board

Purpose

  • Oversee instructional programmes, internal quality assurance, academic policies and learner progression.
  • Ensure syllabi, timetables, learner records, assessments and practical training are implemented properly.
  • Monitor academic risk, lecturer performance, attendance, results and learner support interventions.

Deliverables

  • Approved timetables, lecturer allocations, assessment schedules and moderation evidence.
  • Updated learner registers, POE/POA controls, academic reports and intervention records.
  • Recommendations for academic improvement, student discipline and curriculum delivery support.
  • Internal audit readiness for QCTO, SETA, DHET, UMALUSI or partner requirements.

Principal / Academic Officer

A. Assumption

Student and academic oversight

  • Oversee student affairs including enrolment, registration, examination readiness and learner support.
  • Ensure academic staff deliver lessons, practicals and assessments according to approved plans.
  • Escalate student academic risk, attendance issues, misconduct and placement challenges to the relevant committee.
  • Ensure learners receive accurate programme, fee, assessment and certification information.

Compliance and quality duties

  • Support accreditation files, facilitator records, learner files, assessment evidence and site-visit readiness.
  • Review academic documents before submission where required.
  • Maintain professional communication with parents, learners, facilitators and regulators.
  • Ensure academic decisions are fair, documented and consistent.

Operations Officer / Corporate Services

A. Assumption

Operational duties

  • Coordinate daily campus operations, administration, staff discipline support, facilities and general workflow.
  • Support HR records, staff attendance controls, leave records, workstation allocation and internal communication.
  • Ensure classrooms, offices, workshops and meeting areas are ready for teaching, audits and visitors.
  • Supervise operational staff and ensure tasks are completed according to institutional standards.

Academic/corporate/finance support

  • Support academic service quality, curriculum delivery tracking and academic staff coordination.
  • Support procurement, budget monitoring, supplier coordination and finance reporting where delegated.
  • Coordinate documents for management review, meetings, policies and site visits.
  • Work with IT, reception, admissions and media to ensure smooth student service.

Student Affairs, Admissions & Examinations

Admissions / Academic Office / Reception Support

Admissions duties

  • Respond to enquiries, explain courses and fees accurately, and guide applicants through online and physical admission steps.
  • Collect and verify required admission documents: ID/passport, proof of residence, results, POP, guardian documents and consent forms.
  • Record application status, registration fee status, payment method and programme choice accurately.
  • Protect student information and only share documents with authorised staff.

Student support duties

  • Coordinate registration, induction, learner orientation, timetable communication and class attendance follow-up.
  • Assist with exam registration support, learner records and official correspondence.
  • Escalate learner complaints, non-payment risks, discipline issues and welfare concerns to management.
  • Ensure all communication is professional, consistent and documented.

Engineering Studies, Artisan Trades & Workshops

HoD and senior lecturer responsibilities

  • Oversee engineering studies, including electrical engineering, mechanical engineering, boilermaking, welding, fitting, civil engineering and related trades.
  • Ensure syllabi are completed on time and learners receive structured theory, drawing, calculations and practical guidance.
  • Supervise lecturers, assess lesson plans, monitor learner attendance and maintain academic records.
  • Thulani Andries Mndebele supports Civil Engineering teaching, learner guidance and academic records for civil-related modules.

Workshop and safety duties

  • Ensure tools, machines, PPE, consumables, registers and practical areas are ready and safe before training.
  • Workshop Foreperson / Chief Artisan supervises technical practical training and enforces safe machinery use.
  • Lab / Workshop Technician maintains tools, calibrates equipment, prepares materials and records equipment faults.
  • Health & Safety Officer ensures workshop OHS standards, incident reporting and hazard controls are followed.

Health & Community Services Faculty

Ms Sibongile Mhlongo · Academic Office · Placement Support

Programme duties

  • Support Health Promotion Officer, Home-Based Care, Social Auxiliary Work and related health/community services programmes.
  • Ensure learner files, placement readiness, indemnity/cover documentation, practical registers and facilitator records are maintained.
  • Guide learners on required documents, uniforms, conduct, workplace exposure and attendance expectations.
  • Maintain communication with placement partners and escalate clinical/practical placement risks.

Compliance and learner protection

  • Ensure health learners understand confidentiality, professional conduct, safety, attendance and patient/client respect.
  • Maintain accurate records for site visits, accreditation, external moderation and learner support.
  • Ensure health-related communications to students and parents are accurate and approved.
  • Protect all medical, personal and placement information under POPIA principles.

Reception & Front Office

Front desk and enquiries

  • Welcome students, parents, visitors, officials and stakeholders warmly and professionally.
  • Answer calls, respond to general email enquiries and route messages to the correct department.
  • Assist students with application and registration enquiries and explain basic documents required.
  • Capture data accurately into student management systems or admissions trackers where authorised.
  • Keep reception neat, professional and ready for official visits.

Administrative and accreditation support

  • Provide accurate information about courses, qualifications, SETA/QCTO accreditation and institutional policies.
  • Receive, sort and organise documentation required for accreditation submissions.
  • Check that forms, supporting evidence and compliance documents are complete before forwarding to management.
  • Maintain visitor registers, document logs, courier records and front-office filing.
  • Assist during site visits by signing in officials and directing them professionally.
Reception staff must keep front-office service accurate, respectful, organised and confidential. Reception support includes student enquiries, admissions support, visitor control, records handling and accreditation-document support when delegated.

Finance, Fees & Procurement Administration

Finance Office · Operations Support

Fee control duties

  • Issue correct fee information, invoices, receipts and payment references.
  • Track registration fees, monthly fees, practical fees, books, uniforms and outstanding balances.
  • Forward POPs for verification and maintain proper financial records.
  • Communicate non-refundable fee terms clearly and respectfully before payment confirmation.

Procurement and reporting

  • Support procurement requests for stationery, books, consumables, PPE, equipment and campus needs.
  • Keep supporting documents for payments, quotations, supplier records and management approvals.
  • Report payment risks, unpaid balances and student finance issues to management.
  • Protect banking, student and sponsor information from unauthorised access.

Information Technology & Digital Infrastructure

Mr Motheo M. Marutla ·

Technology duties

  • Maintain campus-wide information technology, networks, internet, devices, user accounts and digital infrastructure.
  • Support LMS, website pages, online applications, chatbot/forms, staff systems and digital records.
  • Protect system access, passwords, backups, data security and POPIA-related digital controls.
  • Resolve technical issues and document recurring system faults.

Operational support

  • Work hand in hand with operations to keep digital systems aligned to admissions, finance and academic operations.
  • Support online classes, Zoom/meeting links, website updates and digital marketing tools.
  • Ensure systems are not changed without approval and keep version/backup discipline.
  • Train staff where new systems are introduced.

Quality Assurance, Accreditation & Compliance

Accreditation duties

  • Maintain QCTO, SETA, DHET, UMALUSI and related accreditation evidence where applicable.
  • Compile and update portfolios of evidence, staff qualification files, learner records and site-visit evidence.
  • Track scope, expiry dates, renewal deadlines, site-visit outcomes and corrective actions.
  • Ensure all official submissions are reviewed, complete, properly labelled and stored.

Internal quality assurance

  • Monitor assessment records, moderation evidence, attendance registers, lesson plans and compliance documents.
  • Report missing records, poor filing, outdated certificates or policy gaps immediately.
  • Ensure official communication with regulators is professional and authorised.
  • Maintain readiness for audits, evaluations and site visits at both campuses.

Media Team, Communications, Library, Printing & Binding

Media and communications duties

  • leads media direction and script writing for institutional content.
  • Thabiso supports content execution, creative assistance and operational follow-up.
  • Olinda and Francios assist as student support members for approved media activities.
  • Lebo and Pumpkin support camera crew duties, capturing approved events and practical activities.
  • All media must protect student dignity, institutional image, consent and brand standards.

Library, books, printing and binding

  • S. Masilela manages books, library records, printing, binding and learning material preparation.
  • Thabiso assists with printing/binding workflow and document preparation when required.
  • Maintain control over printed learner material, staff documents, registers and assessment packs.
  • Report shortages, equipment faults and urgent printing needs early.

Senior Lecturers, Lecturers & Facilitators

All Academic Staff

Teaching duties

  • Prepare lessons, teach according to timetable, complete syllabi and maintain learner engagement.
  • Keep attendance registers, lesson plans, learner support notes, assessment records and practical logs.
  • Mark work fairly, give feedback, identify at-risk learners and escalate support needs.
  • Protect students from unfair treatment, humiliation, discrimination, bullying or unsafe practice.

Academic administration

  • Submit required records on time to the HoD, academic office or compliance team.
  • Follow approved assessment, moderation and exam-readiness processes.
  • Attend staff meetings, academic reviews, site visits and internal training where required.
  • Use institutional resources responsibly and maintain a professional classroom environment.
